The personal data we process

We collect and process personal data about you when you interact or purchase services from us.

The personal data we process can include:

• your name, title, home or work address, email address and/or phone numbers

• recordings of CCTV footage if you visit our premises
• payment and delivery details, including billing and delivery addresses and partial banking details, where you make a purchase from us for goods or services and opt to pay by Direct Debit

• if you provide a credit or debit card, we may also use third parties to check the validity of the sort code, account number and card number you submit in order to prevent fraud

• in circumstances where you contact us by telephone, calls may be recorded for training,  quality, and security purposes
• in circumstances where you visit our offices, your actions may be recorded for security purposes
• we may use your information to invite you to take part in market research or surveys.

Our legal basis for processing your personal data

We will only use your personal data where we have a legitimate interest or where we need to comply with a legal obligation. We have completed a Legitimate Interests Assessment and considered whether or not those interests are overridden by the rights and freedoms of the individuals and have concluded that they are not. Processing related to our website and for sales and marketing activity is necessary for our legitimate interests. Processing is also undertaken in relation to the products and services we provide to customers and our legal basis in these cases is to enable us to perform the contract between the parties.

With whom will we share your personal data
Your personal data will be treated as strictly confidential and will only be shared with the recipients detailed below for the purpose stated.

• Companies and employees within the Everything Tech Group for marketing purposes and to support overall provision of our products and services;
• Marketing communication facilitators to keep you updated on our products and services;
• Online advertising providers to keep you updated on our products and services;
• Website engagement companies (e.g. live chat) to help us to assist you and respond to your queries;
• Analytics providers to help us improve your online experience;
• Third parties for joint promotions with that party to help us organise events;
• Third Parties acting as processors or sub-processors required to enable us to provide the products and services we provide;
• Fraud prevention agencies to prevent fraud;
• Alternative dispute resolution for complaint escalation;
• Law enforcement agencies, government bodies, regulatory organisations, courts or other public authorities where required by law.

Where we process your data
The personal data that we collect from you will be processed in the UK and also may be transferred to and processed inside and outside the European Economic Area (“EEA”). Data will only be transferred outside of the EEA where this is an adequacy agreement. Where this is not the case then the transfer will only be made if there are appropriate safeguards in place.

How long will you keep your personal data.

Retention of customer records will be in accordance with our Data Retention Policy. After it is no longer necessary for us to retain your personal data, we dispose of it securely according to our Asset Management Policy.

We may retain your personal data for a time beyond the specified retention period, to allow it to be reviewed and any deletion to take place. It may also be retained in our back-ups.

We are also required to retain certain information by law or if it is reasonably necessary to meet regulatory requirements, resolve disputes, prevent fraud, and abuse, or enforce our terms and conditions.

Your rights in relation to your personal data
You have the following rights:

• The right to request a copy of your personal data which we hold about you;
• The right to request that we correct any personal data if it is found to be inaccurate or out of date;
• The right to request your personal data is erased where it is no longer necessary for us to retain such data;
• The right where applicable to request, that we provide you with a copy of your personal data and where possible, to transmit that data directly to another data controller (known as the right to data portability);
• The right, where there is a dispute in relation to the accuracy or processing of your personal data, to request a restriction is placed on further processing;
• The right where applicable to object to the processing of personal data;
• The right to object to the use of Cookies;
• The right to lodge a complaint with your local supervisory authority.
