With more businesses moving to the cloud, and Microsoft Office 365 usage growing by over 50%, stopping phishing using Microsoft 365 is becoming increasingly important.
Microsoft Outlook itself has some built-in tools that can help stop phishing emails. From your administrator account, click “File” and then “Rules and Alerts”. Here you can set up your own alerts and rules that give you some degree of control over your emails. This feature lets you, for example, move any emails with a certain word in the subject to a specific folder. So, if you’re getting constant phishing emails with the subject line “You’ve Won an iPhone!”, you can automatically move it to junk.
In most cases of phishing-attacks, the technology is not the problem, it is the people. Cybercriminals rely on people having an emotional reaction to situations whether it’s receiving a ‘pay now’ email or the threat of a cybercriminal withholding and stealing your data. There are many phishing awareness training providers available. At Everything Tech, we provide a course that sends fake phishing emails once a fortnight or a month to a company to test their ability to spot phishing attacks, we usually see in the first few months a high percentage of 60-70% fall for these attacks. You may have thought this would be the most important, however, mail filtering can actually less effective than the points above. Technology can be flawed and does not always recognise that an email is a phishing email or could be harmful. If your using Microsoft 365 you can upgrade to advanced thereat protect to filter your mailbox. To add an extra layer of protection you can also use a 3rd party external mail filter so that O365 is filtering your mail but so is another technology, filtering your inbox twice will further reduce the opportunity for your organisation to suffer a cyberattack. Again, implementing mail filtering is a relatively inexpensive cost per user when considering the alternative.
